Special Event Coordinator

Bend Park & Recreation District is accepting applications for the position of Special Event Coordinator for the 2010 Old Fashioned July 4th Festival in Drake Park. This position is responsible for the general coordination of the event. 

Event Description: The festival and its partnering event, the Pet Parade, have been managed by Bend Park & Recreation District as a family-friendly event for over 40 years.  The festival includes 18 food vendors, music, two stages of entertainment, 115 craft/product sales, old fashioned games, hay wagon rides, and community activity booths. 

Primary duties:
• Coordinate event logistics
• Plan event features such as kids and family stage, community booth activities, etc.
• Update vendor solicitation materials; process vendor reservations; communicate with vendors
• Conduct inventory; order supplies
• Work cooperatively with Park Services on pre-event planning, event staging, setup, and take down
• Maintain accurate records
• Secure permits
• Ensure sponsor agreements are honored
• Arrange contracted services such as toilets, recycling, security
• Organize and supervise pre-event set up, day-of staffing/problem solving, take down and final clean up
• Other event-related duties

Starting hourly wage:  $12 - $15 per hour depending on experience.

Work schedule:   The seasonal, part-time position begins in March and ends within 2 weeks after July 4th event day.  Hours will vary and are flexible, beginning with up to 12 hours per week in March. The total hours will not exceed 280 for the position.

Qualified candidates should possess the following:
• Successful experience in large event coordination or similar scale organization
• Strong planning, organizational and problem solving skills
• Good oral and written communication skills
• Basic computer skills
• Valid drivers license, acceptable driving record and clean criminal background check
• Ability to lift equipment and supplies
• Exceptional ability to work cooperatively with staff and the general public.
